The Inside Project Administrator will work under the supervision of the General Manager and other senior operations personnel to support and execute fundamental tasks that are vital to successful project completion. This includes collaborating with Project Managers to manage residential and commercial mitigation/restoration projects, ensuring compliance with company procedures and proper client/customer documentation. Through decisive communication and a positive team-first attitude, the Inside Project Administrator will deliver valuable support to our production team, and first-in-class customer service to clients and partners.

Responsibilities include, but are not limited to:

  • Complete intake of jobs directly from customers or insurance clients ensuring accurate classification of job types.
  • Proactively communicate with customers in an effort to secure property restoration contracts upon completion of mitigation efforts
  • Create and maintain projects within the appropriate software programs ensuring records are accurate and complete throughout the project duration
  • Work with Project Managers and field staff to maintain current project activity
  • Follow up, as needed, with Project Managers, subcontractors, or other personnel to ensure job requirements are met
  • Communicate job progress/status and schedule with clients on a daily basis
  • Schedule homeowner/client visits for Project Managers and field crews as needed
  • Serve as a liaison with insurance agents and clients on claims ensuring thorough communication of key information
  • Maintain files and transfer estimates from Project Managers to various insurance software programs
  • Assist Project Managers with writing contracts and other job-related documents
  • Handle accounts receivable by following up with clients and partners to ensure timely payments
  • Review and process subcontractor invoices for payment

Required Skills / Qualifications:

  • Bachelor’s degree or equivalent industry experience
  • 1 – 3 years of administrative experience in a project-driven environment
  • Demonstrated experience in a fast-paced work environment
  • Strong interpersonal, organizational, and self-management skills
  • Strong written and verbal communication skills
  • Strong computer and internet skills, including Microsoft products (Outlook, Word, and Excel)

Preferred Skills:

  • Experience with Xactimate or Restoration Manager software
  • Experience in emergency services, restoration, construction, facilities management or insurance claims
  • Knowledge of construction terminology a plus

The ideal candidate has a Bachelor’s degree in Business Administration, Management, Construction, Project Management, or other related major; previous administrative experience in a project-driven environment; and strong computer skills, including experience with Microsoft Office Suite, Xactimate, and Restoration Manager. Excellent communication and organizational skills are required. Experience in an emergency service or insurance organization and/or knowledge of construction terminology is a plus.
